Project Coordinator – Construction
Position Summary
Reporting to the Project Director, Senior Project Manager or Construction Director, the Project Coordinator provides administrative, technical and operational support to construction project teams. They coordinate, file, transmit and follow up on project documents, contracts, purchase orders, change events and change orders, shop drawings, permits, CNESST files and invoicing.
This role serves as a liaison among professionals, subcontractors, suppliers, internal teams, the site team and Accounting to ensure smooth, compliant and well-documented project management.
Roles and Responsibilities
Project Management Support
- Provide administrative and coordination support to members of the construction project team.
- Review, understand and keep scopes of work up to date for contracts and tender files.
- Maintain daily communication with professionals, subcontractors, suppliers and internal site teams.
- Prepare reports, tracking tables and visual presentations for project teams as required.
Technical Documentation and Document Control
- Coordinate plans, specifications, reports and technical documents with professionals.
- File, distribute and track project documents in accordance with internal standards.
- Process and track shop drawings and other project-related documents.
- Maintain thorough project-document filing and keep records up to date.
Contracts, Purchase Orders and Changes
- Prepare and issue contracts, purchase orders, change events and change orders.
- Follow up on responses to RFIs and coordinate required information with the relevant stakeholders.
- Validate the compliance of subcontractor and supplier administrative files.
- Support Project Managers with tender, contract and change follow-ups.
Invoicing, Materials and Site Administrative Support
- Follow up on monthly invoicing in collaboration with Project Managers and Accounting.
- Track materials, rentals and construction-site administrative needs.
- Compile and maintain a concrete-usage tracking table.
- Maintain an up-to-date list of project stakeholders and their contact information.
Permits, CNESST and Compliance
- Prepare construction-site opening and closing files for the CNESST.
- Coordinate and prepare occupancy-permit applications for the City.
- Follow up on documents required for project administrative compliance.
- Collaborate with site teams to support document management that complies with applicable requirements.
Meetings, Communications and Project Closeout
- Organize and participate in coordination and site meetings.
- Prepare, compile and produce project-closeout documents.
- Clearly track decisions, outstanding documents, actions in progress and administrative deadlines.
- Perform any other related duties based on project needs.
Your Day-to-Day Responsibilities
- Follow up on current documents, contracts, purchase orders and changes.
- Communicate with professionals, subcontractors, suppliers, site teams and internal teams.
- Participate in site and coordination meetings to document decisions and next steps.
- Support Project Managers in the administrative, document-control and operational management of projects.
- Keep registers, tracking tables, contact lists and project files up to date.
- Prepare documents required for permits, CNESST matters, monthly invoicing and project closeout.
What We Are Looking For
Education and Experience
- Bachelor’s degree in architecture, civil engineering, construction engineering or building engineering, or a diploma of college studies (DEC) in architecture/building engineering with relevant experience.
- Certificate in General Health and Safety on Construction Sites (ASP Construction).
- A minimum of five years of experience in the construction industry.
- Excellent spoken and written communication skills in French and English.
- Knowledge of Procore and Yardi is a significant asset.
- Proficiency in Microsoft Office.

Working Conditions
